DB Languages Ltd is a certified translation and legal documentation company. Throughout these terms, references to "the Company", "DB Languages" or "we" refer to DB Languages Ltd. References to "you" or "the client" refer to the person or entity using our services.
2. Services Provided
DB Languages Ltd provides the following services:
- Certified Translations — carried out by certified translators qualified for the relevant language combination
- Hague Apostille Legalisation — official legalisation for use abroad under the 1961 Hague Convention
- Notarial Legalisation — notarial certification of documents for international use
- Consular Documentation Support — preparation and translation of documents required for consulate submissions. DB Languages Ltd does not provide consular services; these are provided by the relevant consulate or embassy.
- Interpretation Services — professional interpretation for legal, medical, business and consular appointments
3. Original Documents — Apostille & Notarial Legalisation
⚠️ Important: Hague Apostille and notarial legalisation services require the original physical document to be sent to us by post. Scanned or digital copies cannot be accepted for these services. Original documents may alternatively be submitted in person to our registered office at 22 Tyrell Close, Harrow, HA1 3UX, strictly by prior appointment — please contact us to arrange.
Documents that must be sent as originals include (but are not limited to):
- Birth Certificates
- Marriage Certificates
- Death Certificates
- Any other civil status documents requiring Apostille
Exception: Court orders or judgments requiring notarial legalisation may in some cases be submitted by email — please contact us first to confirm.
How to Submit Original Documents
Before sending any original documents by post, clients must complete an application via our website or by contacting us directly. Upon submission you will receive:
- A confirmation email with your application reference number
- Our postal address for sending the documents
- Guidance on how to send documents safely (we recommend tracked and signed-for delivery)
We strongly recommend using a tracked postal service (Royal Mail Special Delivery or equivalent) when sending original documents. DB Languages Ltd accepts no liability for documents lost or damaged in transit by Royal Mail or any third-party postal service.
Once your documents are received, we will contact you by email and/or phone to confirm receipt and proceed with the service. A phone number is required for this service so we can reach you quickly if needed.
4. Placing an Order
- Orders are placed via our secure online order form or by direct email enquiry
- An order is confirmed only upon receipt of full payment (or, for postal services, upon receipt of original documents and payment)
- You must ensure documents submitted are the correct, complete documents requiring translation or legalisation
- The Company reserves the right to decline any order at its discretion
- For documents not listed on our standard price list, the Company will review the document and provide a personalised quote within 2–5 minutes during business hours, or automatically based on page count outside business hours
5. Pricing & Payment
- Prices are quoted in GBP (£) and are inclusive of VAT where applicable
- Payment is required in full before work commences on standard orders
- Payment is accepted via Stripe (major debit and credit cards)
- Postal delivery of physical certified translations incurs an additional fee as stated at checkout
- Emergency and same-day services are priced at a premium as shown on the order form
- Package pricing (Translation + Apostille + Notarial Legalisation) is available — contact us for a tailored quote
6. Delivery Times
- Standard translation: 24–48 hours from payment confirmation
- Emergency translation: 6–12 hours from payment confirmation
- Apostille (standard): Timescales dependent on the relevant authority — we will advise upon receipt
- Apostille (next-day service): Available depending on when original documents are received — timescales confirmed upon receipt of documents
- All delivery times are estimates and may vary for complex, lengthy or multi-document orders
- The Company will notify you promptly if a deadline cannot be met
7. Quality & Revisions
DB Languages Ltd is committed to accuracy and quality. If you believe there is an error in your translation:
- Contact us within 14 days of delivery at info@dblanguages.com
- The Company will review and correct any translator errors at no additional charge
- Revision requests arising from changes to the source document, or based on personal stylistic preference, may incur additional charges
8. Cancellations & Refunds
- Orders cancelled before work has commenced will receive a full refund
- Orders cancelled after work has commenced will be charged proportionally for work completed
- Completed translation orders are non-refundable unless a demonstrable error by the Company is identified
- Emergency and same-day orders are non-cancellable once work has commenced
- Apostille and notarial legalisation fees paid to third-party authorities are non-refundable once submitted
9. Data Protection & Document Retention
DB Languages Ltd is registered with the Information Commissioner's Office (ICO) and is fully compliant with UK GDPR and the Data Protection Act 2018. The following retention periods apply:

This means that while your translation document and personal data will be securely deleted after 6 months, DB Languages Ltd is legally required to retain invoices and financial records for 6 years under UK company law. Only the minimum financial data necessary for accounting purposes is retained beyond 6 months.

10. Confidentiality
All documents and personal data submitted to DB Languages Ltd are treated with strict confidentiality. All translators working with the Company are bound by confidentiality agreements and comply with UK GDPR as data processors. Documents are never shared with any third party other than the certified translator assigned to the specific order.
11. Limitation of Liability
DB Languages Ltd's total liability to a client is limited to the value of the order placed. The Company is not liable for any consequential, indirect or special losses, including but not limited to:
- Rejection of a translation by a third party (government body, court, institution) where the translation itself is accurate
- Delays caused by third-party postal services or government authorities
- Loss of original documents in transit by Royal Mail or any third-party postal carrier
12. Governing Law
These terms and conditions are governed by and construed in accordance with the laws of England and Wales. Any disputes arising from or in connection with these terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
13. Changes to These Terms
DB Languages Ltd reserves the right to update these terms and conditions at any time. The current version will always be published on this page with the date of last update shown above. Continued use of our services after any changes constitutes acceptance of the updated terms.
